Overview
Miranda Counseling is committed to providing exceptional therapy services and professional training. Our cancellation and refund policies are designed to be fair to our clients, trainees, and clinicians, while recognizing that appointment time and training seats are limited resources reserved exclusively for you.
By scheduling a therapy session or registering for a professional training, you acknowledge that you have read, understood, and agreed to the policies below.
Part 1 — Therapy Session Cancellation & Refund Policy
Appointment Cancellation Notice
We require a minimum of 24 hours’ advance notice to cancel or reschedule a therapy session without charge. This allows us the opportunity to offer your appointment time to another client in need.
- ✅ More than 24 hours’ notice — No charge; reschedule freely.
- ⚠️ Less than 24 hours’ notice (late cancellation) — Billed at the full session rate of your individual clinician ($120–$150 for a 50-minute session; $150–$225 for initial assessments).
- ❌ No-show (failure to attend without notice) — Billed at the full session rate.
How to Cancel or Reschedule
You may cancel or reschedule by:
- 📞 Calling your therapist directly at the number provided in your intake paperwork
- 📞 Calling our main line at (913) 295-9800
- 📧 Emailing your therapist directly (response only during business hours)
- 💬 Through the client portal, if you are already an active client
Cancellations made via voicemail or email outside of business hours will be time-stamped as received at the time of the message, provided the message is received at least 24 hours before the scheduled session.
Exceptions to the Cancellation Fee
We recognize that life happens. At the sole discretion of your individual clinician, the late-cancellation or no-show fee may be waived in cases of:
- Sudden illness, hospitalization, or medical emergency (yours or an immediate family member’s)
- Documented family emergency or bereavement
- Severe weather, natural disaster, or unsafe road conditions
- Other extenuating circumstances determined on a case-by-case basis
Please notify your clinician as soon as possible in such situations. Repeated waivers are generally not provided.
Payment of Cancellation Fees
Late-cancellation and no-show fees will be charged to the credit card, HSA card, or Flex Spending card on file at the time of the missed session. If no card is on file, an invoice will be sent with payment due within 7 days.
Important: Late-cancellation and no-show fees are not reimbursable by insurance because no service was rendered. You will be responsible for the full fee out of pocket.
Refunds for Therapy Services
Because therapy services are delivered in real time and paid at the time of service:
- ✅ Sessions already delivered are non-refundable.
- ✅ Pre-paid session packages (if offered by your clinician) may be refunded for any unused sessions within 30 days of purchase, less any sessions already attended at the full single-session rate.
- ✅ Duplicate or accidental charges will be refunded in full to the original payment method within 5–10 business days of notification.
- ✅ Overpayments (e.g., credit balances) will be refunded upon request or applied to your next session, at your preference.
Clinician-Initiated Cancellations
If your therapist must cancel your session due to illness, emergency, or other unforeseen circumstance:
- You will be notified as soon as reasonably possible.
- You will be offered the next available reschedule slot.
- You will not be charged for that session.
- If a pre-payment was made, you will be offered either a credit toward your next session or a full refund.
Insurance and Out-of-Network Reimbursement
Miranda Counseling is out-of-network with all insurance providers and does not file claims on your behalf. We provide a detailed superbill upon request that you may submit for possible reimbursement. We make no guarantee regarding insurance reimbursement. Please refer to our Rates page for full details.
Part 2 — Professional Training Cancellation & Refund Policy
This policy applies to all EMDR Basic Trainings, Play Therapy trainings, refresher workshops, and other professional development events offered by Miranda Counseling, in compliance with EMDRIA Basic Training Policies & Requirements, which mandate that cancellation and refund policies be clear, transparent, and disclosed prior to registration.
Registration & Payment
- Full payment is required at the time of registration to secure your seat, unless a payment plan has been explicitly approved in writing.
- Payment plans, when offered, require a non-refundable deposit (specified at the time of registration). Remaining balances must be paid in full at least 14 days before the training start date.
- All training fees are quoted in U.S. dollars and include the components disclosed in the training advertisement (e.g., tuition, materials, and, when stated, consultation hours).
Cancellation by the Participant

Refunds will be issued to the original payment method within 14 business days of the approved cancellation request.
Transfers to a Future Training
In place of a refund, you may elect to transfer your registration to another scheduled training within 12 months of your original registration date. Transfer requests are subject to the following:
- ✅ More than 14 days before training: No transfer fee.
- ⚠️ 7–14 days before training: $100 transfer fee.
- ❌ Less than 7 days before training: Transfer requests are not guaranteed and may be subject to a higher fee at our discretion.
A registration may be transferred once. Subsequent transfer requests are treated as cancellations under the schedule above.
Substitutions
You may transfer your registration to another eligible colleague (one who meets EMDRIA’s eligibility requirements) at no charge, provided written notice is received at least 7 days before the training start date and the substitute clinician completes registration and any required paperwork before the training begins.

The date and time the written request is received will be used to determine the applicable refund tier.
Cancellation by Miranda Counseling
In the rare event that Miranda Counseling must cancel a training (due to insufficient enrollment, trainer illness, facility issues, natural disaster, public-health emergency, or other circumstances beyond our control):
- All registered participants will be notified as early as possible.
- You will be offered a choice of:
- Full refund of tuition paid (issued within 14 business days), or
- Full credit toward a future Miranda Counseling training of equivalent value, valid for 12 months.
- Miranda Counseling is not responsible for non-refundable travel, lodging, time off work, or other indirect costs incurred by participants. We strongly recommend that participants purchase refundable travel arrangements or travel insurance when traveling for training.
Partial Attendance & Failure to Complete
EMDRIA requires that EMDR Basic Training be completed in its entirety (a 50-hour minimum), including all lecture, practicum, and 10 hours of consultation, within 12 months of the initial training start date. Refunds will not be issued for:
- Failure to attend portions of the training after it has begun
- Missing more than 15 minutes of content (per EMDRIA policy)
- Failure to complete the required consultation hours within the 12-month window
- Failure to complete required reading, assessments, or assignments
- Voluntary withdrawal after the training has begun
Participants who experience a humanitarian crisis or other extenuating circumstances that prevent timely completion may request an extension under EMDRIA’s allowance for trainer discretion. Such requests must be made in writing and are evaluated on a case-by-case basis.
Consultation Hours
If 10 hours of post-training consultation are purchased separately from a Miranda Counseling consultant:
- Individual consultation sessions follow the therapy session cancellation policy above (24-hour notice; full fee for late cancellations or no-shows).
- Pre-paid consultation packages may be refunded for unused hours only, less a $50 administrative fee, within 6 months of purchase.
- Consultation hours completed are non-refundable once delivered.
Promotional Discounts & Coupon Codes
- Discount codes (such as the current “Synergy50” promotion) must be applied at the time of registration and cannot be applied retroactively.
- Refund amounts for discounted registrations are calculated based on the actual amount paid, not the full list price.
- Discounts cannot be combined unless explicitly stated.
Materials & Digital Content
- Printed manuals, books, and other physical materials shipped to participants are non-refundable once shipped.
- Access to the Learning Management System (LMS) and any digital course content is non-transferable and non-refundable once login credentials have been issued, except in the case of a Miranda Counseling-initiated cancellation.
Grievance Procedure
If you believe a cancellation fee, refund denial, or transfer decision is unfair, you may request a review by contacting our practice owner:

Grievances will be acknowledged within 5 business days and resolved within 30 days whenever reasonably possible. Filing a grievance will not affect your access to future services or trainings.
For unresolved training-related concerns, EMDR Basic Training participants may also contact EMDRIA at emdria.org per the EMDRIA grievance process.
Policy Updates
Miranda Counseling reserves the right to update this Cancellation & Refund Policy at any time. The policy in effect at the time of your booking or registration is the policy that will apply to your account. The current version is always available at mirandacounseling.com/cancellation-refund-policy.
